Marketing, Communications & Media
The Office of Marketing & Communications for Information Technology and University Libraries provides integrated marketing resources to Information Technology Services and the Baylor Libraries at the university. We provide branding, marketing, and public relations strategy for our clients, along with expertise in graphic design, digital platforms, copywriting, photography, social media, and video production.
Our team works collaboratively with the leadership and departments of the Baylor Libraries and Information Technology Services to offer a wide range of marketing, public relations, advertising, and branding services. We see effective integrated marketing as critical to maintaining our division's positive image as well as assuring the success of its programming, services, events, and projects.
As the official liaisons between the Libraries/ITS and University Marketing and Communications, the Libraries MarCom team is tasked with ensuring brand alignment, best practices, and prior clearance for all outward facing - and many internally focused - marketing and communications executions.
The Process
Since our division serves Baylor by providing a wide array of resources for faculty, staff, students and many beyond the university, marketing and communication pervades all of our activities. If you are planning an event, launching a new service, promoting a project or just getting the word out about your department, we can help you deliver your message effectively and on time. The key to success is to include our team in the initial planning stages. Bringing us in early gives us plenty of time to create and execute a marketing strategy based on your needs and your desired outcomes.
Our Services
Event Scheduling
We work with our clients to ensure that our public events are scheduled in such a way that our marketing and communications efforts are effective and that the communities who participate in our events are not overwhelmed. Planning an event? Get started by completing the Scheduling Calendar and Event Form.
Graphic Design
We can create custom design executions for signage, event promotion, websites, and more. We also work to ensure planned marketing executions include the proper use of Baylor University wordmarks, logos, taglines, etc. so that Libraries/ITS materials are in line with Baylor's brand guidelines.
Promotional Material Design
We can help you design a wide range of promotional materials including (but not limited to):
- Brochures
- Promotional signs, flyers, posters
- Digital signage
- Giveaways / promotional items like mugs, stickers, cups, pens, notepads, and more
Social Media Management
Partner with our team to ensure your event is publicized via the official social media accounts of the Libraries/ITS. We'll help get the word out before, during, and after your event so you get the best social media buzz possible.
Feature Writing
We offer a full range of professional writing services, including press releases, copy for website posts, custom emails, and more. Plus, we conduct in-depth interviews and write feature-length stories for use in various platforms including print magazines, blog posts, social media, and more. See samples of our writing on the Promoting Discovery blog, the official blog aggregator of the University Libraries.
Grant Writing
Our department is home to the Libraries/ITS research administrator who can help you discover grant opportunities, write applications and manage the pre-award process. Contact eric_ames@baylor.edu to schedule an interview to discuss your grant idea, and he'll sit down with you to make a plan that gives you the best chance at success.
Web Development
Looking to spice up your website? Want to add some custom graphics, new copy or an interactive element? Working with our partners in Baylor's Electronic Communications department, we can help you make your web presence an engaging, eye-catching and effective electronic ambassador for your department, project or service.
Promotional Materials Ordering/Vendor Relations
We are your one-stop source for ordering promotional materials through our local and national vendors. We can help you design, order and fulfill any promotional item you can dream of, from t-shirts and branded merchandise to die-cut print pieces, banners, giveaway items and more.
Media Inquiries
The Marketing & Communications team is happy to assist the University Libraries and Information Technology Services by providing guidance and logistical support for interviews, providing quotations, on-site filming, and more. Additionally, we are ready to work with media outlets to field interview inquiries, schedule on-site filming opportunities, and pitch story ideas.
If you are a Baylor Libraries or ITS employee and you:
- have been contacted by a local media source for an interview, or
- you want to use image marks or logos for ITS or the Libraries
OR if you are an outside party interested in:
- using library spaces for filming,
- using library spaces for publicity purposes, or
- doing a story about one of our libraries or technology at Baylor
Please Contact Carl Flynn, Director for Marketing and Communications for Information Technology and University Libraries at (254) 710-7620 or Carl_Flynn@baylor.edu.
One story, one source
Unless given prior authorization by Marketing and Communications, only one person per library, department, or group will be authorized to speak with a reporter on a single story. For example, if a "Lariat" reporter emails multiple members of a special collection for an interview about the same topic, only one will be given the opportunity to participate in the interview. In cases where a group interview is requested or makes the most sense, it is necessary that the interested parties work with Marketing & Communications ahead of time to work on the details.
If You're A BU Libraries/ITS Employee Who's Being Interviewed
Remember, you're representing the University Libraries/ITS, so keep these tips in mind during your interview to help ensure a positive, smooth experience.
Be Positive! You're telling the world about something important to you, your work, and our university. Project a positive tone and have plenty of upbeat, fun facts at the ready.
Be Accurate! If you don't know the answer to a question, just say, "I don't have that information at the moment, but I'll be happy to follow up with you." It's much better to admit you don't know the answer than to make something up.
Be Understanding! Your media contact is under no obligation to a.) put everything you said into their story or b.) let you review it before it airs/runs in the paper/goes online. So, your 15-minute interview may result in a 30-second sound bite, but don't be discouraged! Any positive coverage of the work happening in our division is a good thing.
Be Prepared! Review relevant websites and other resources prior to your interview, especially if you plan to refer readers/viewers to those sites. Make sure they're updated, running correctly and aren't currently offline or otherwise under maintenance.
